Full attendance is MANDATORY (across all 4 days) as per the terms & conditions which were accepted at the time of the booking.

You must be in attendance for all 4 days of the Unite Conference. The Conference starts at 12pm on Thursday, 6 February and finishes at 2pm on Sunday, 9 February

If you arrive late for the conference, notify the team in writing. If you are to leave the conference early, your emergency contact will be notified, and you will NOT be allowed back into the venue.

Reporting

Your Reporting Timings

Registration counter will be open from 9.00am onwards on Thursday, 6th Feb 2025.

Reporting time is from 9 am to 12pm on Thursday, 6th Feb 2025.

Conference commences at 12.00pm on Thursday (Feb 6) with lunch, programs will start at 2pm and finishes on Sunday (Feb 9) at 2pm with lunch. Please ensure that you stay for the full duration of the program.

All participants must report to the venue and complete the check-in process by 1.00pm to ensure the smooth functioning of the conference.

Since full attendance is a must, you may not be allowed to go out from the venue during the Conference.

For the smooth running of the conference and to ensure safety, all participants are expected to strictly observe and follow the instructions of the volunteers and organisers.

ID Badge is provided for everyone attending the program during the registration time. All are expected to wear their badge all the time during the conference.

Food

Food is catered by the Catering Team.

The dietary requirements will be taken care off and if you have any concerns, please inform the team as early as possible by email to uniteconference@syromalabar.org.au or please provide further information in the form.

Anyone with food allergy must notify the organisers at the earliest.

First Aid & Wellbeing Counter

There will be a First Aid & Well Being Counter at the venue throughout the conference. If you require any medical or emotional support, you can avail from the first aid and wellbeing counter.

Medical Back Up

We will not be able to provide any medical back up except first aid, please bring your own medications if you are using any.

Eparchy’s Policy

Syro-Malabar Eparchy is committed to maintaining a safe, respectful, and spiritually-focused environment within our church community. To uphold our values and promote the well-being of all individuals, we have implemented a Zero Alcohol/ Drug Policy. This policy unequivocally prohibits the possession, consumption, or distribution of alcohol/ drugs or any substances within any church-related setting or event.

Consequences

As a participant of the Unite Conference you must adhere to the Zero Alcohol/ Drug Policy. If there is any breach of this policy, we will terminate your registration, and adequate actions will be taken.

Refund and Cancellation Policy:

All cancellations must be written to uniteconference@syromalabar.org.au with BSB and Account number

If you require any Letter for Workplace or University, please write to uniteconference@syromalabar.org.au with details

The conference has strict guidelines on refunding in case of cancellation. As per the terms and conditions:

Cancellations at any point in time on or after Dec 1st, 2024, will incur a penalty of $100 for each registrant + registration fee of $250. Remaining amount will be refunded to your account within 30 days of notification.

Cancellations received after the stated deadline of 6th January 2025 will not be eligible for a refund.

Program

Schedule of the program

The detailed program including the timing will be published soon.

There will be workshops that you are able to select and attend.

There will be also musical events, performance, games…etc

Sacrament of Reconciliation

There will be opportunity for the Sacrament of Reconciliation throughout the conference. You can approach priests who is available at the conference for receiving the sacrament of reconciliation.

Venue

Accommodation

All participants will be sharing room with 4 to 6 people. Most of the rooms have bunk beds.

Separate accommodation will be provided for Male and female participants.

Toilets and bathrooms are common.

Linen will be provided (including a sheet set, doona and pillow). However, we cannot assure you that the provided linen is enough for your comfort. You are encouraged to bring your own additional sheets and towel to make your stay more comfortable.

Hot water is available for shower.

You need to bring your own Toiletries (toothbrush, toothpaste, towel, shower gel, etc.)

Please keep your room tidy and take care of the assets. If any damage occurs, the cost will be incurred from the person responsible.   

Valuables and Housekeeping

Valuables

Participants are discouraged to bring any valuables to the venue or in your vehicle. Also, it is not advisable to leave any valuables in the room while attending the retreat. 

Organisers will not take any responsibility for the valuables brought in by the participant. 

Housekeeping

We expect the cooperation and attention from all the participants towards the success of the conference. Therefore, please take responsibility in tidying up the respective areas.

Transportation

Transportation for interstate travellers via Flight

Interstate participants will have transportation from Melbourne Airport (Tullamarine) to the Belgrave conference centre on Thursday, 6th Feb 2025 and a return trip on Sunday, 9th Feb 2025 .

Two buses are running from the Tullamarine Airport to the venue in the morning of day 1 (6 February 2025).

Two buses are running from the venue to the Tullamarine Airport in the afternoon when the conference is finished.

Running times are yet to be finalised, once we receive your flight times and we will schedule the buses

There will be a small cost of $15 per trip/person.

You will be able to pay now and reserve your seat

Transportation for interstate travellers via Bus.

Interstate participants from NSW and SA will have buses organised by Forane team.

Transportation for locals (Vic participants) and people who are driving to the venue

The participants from Victoria are requested to organise their own means of transportation to and from the conference.
